BAYBOO SOURCING RETURNS & SHIPPING POLICY

1. Returns & Refunds

  • Prior Authorization Required: All returns must be pre-authorized by Bayboo Sourcing. Please contact us to obtain a Return Merchandise Authorization (RMA) number before shipping any items back. Returns without an RMA may be refused.
  • Eligibility for Returns: We primarily facilitate returns only for items with major quality defects or those that significantly differ from the approved sample or confirmed specifications. Returns due to buyer's change of mind or minor aesthetic variations are generally not accepted unless otherwise agreed upon with the supplier.
  • Process & Timeline:
    1. Notify us of the issue via email within 7 business days of receiving the goods. Provide clear evidence such as photos or videos.
    2. We will investigate with the supplier. If the return is approved, we will provide an RMA and the return shipping address (usually a warehouse in China or the supplier's address).
    3. The customer is responsible for return shipping costs, customs duties, and any handling fees unless the defect is confirmed to be the supplier's fault.
  • Refunds: Upon receipt and inspection of the returned goods, we will process the refund to the original payment method (or as otherwise agreed) within 14 business days.

2. Shipping & Delivery

  • Shipping Terms: All shipments are executed under agreed International Commercial Terms (Incoterms), such as FOB, CIF, or EXW. These terms clearly define the point where risk and responsibility transfer from the seller/supplier to the buyer.
  • Shipping Costs & Import Duties:
    1. Unless explicitly stated in your quotation, international shipping and insurance costs are not included.
    2. All import duties, taxes (including VAT/GST), and customs clearance fees in the destination country are the sole responsibility of the buyer/importer. This is a standard practice in international trade.
  • Transit Times: All delivery dates provided are estimates only. While we work with reliable logistics partners, delays can occur due to customs inspections, weather, holidays, or other unforeseen circumstances. Bayboo Sourcing cannot guarantee firm delivery dates.
  • Receiving Inspection: It is crucial that you or your consignee inspect the shipment immediately upon delivery. Check the packaging for any damage before signing the carrier's delivery receipt. If there is visible damage or a shortage in quantity, note the issue clearly on the carrier's receipt, take photos, and notify both the carrier and Bayboo Sourcing within 24 hours. This is essential for filing any freight claims.

3. Limitation of Liability

Bayboo Sourcing acts as a service coordinator between buyers and suppliers. Our liability is limited to the professional facilitation of the sourcing process. We are not liable for:

  • Delays or failures caused by force majeure events (e.g., wars, strikes, natural disasters, government actions).
  • Losses arising from information provided by the client (e.g., incorrect shipping address, product specifications).
  • The ultimate quality, safety, or compliance of products manufactured by third-party suppliers, for which the supplier bears primary responsibility.
